| Stuck “processing” | Wait for large files; refresh Documents; re-upload if status never completes |
| Chat ignores new file | Confirm processing finished; @ mention the file; ask a sharper question |

| Generic / off-topic answers | Mention the file; ensure relevant docs are in this workspace; tighten the question |
| Missing expected facts | Confirm the source was uploaded and processed; rephrase using terms from the document |
| No citations when expected | Ask for sources or refer to a specific document; verify knowledge was retrieved |

| Model errors / empty replies | Open Workspace settings → Models; verify provider connection; pick another enabled model |
| Model missing from selector | Enable it under Models; confirm the provider connection is active |
| Wrong default behavior | Adjust role defaults (chat/vision/image) in Models settings |
